How records are handled

The form, a sample review, and what a buyer actually receives.

What the form collects

The form asks which tools you use, a few facts about the company, and how to reach someone authorized to speak for it. We use that to decide whether a conversation is worth both sides' time. The form does not ask you to upload records.

How a sample is read

If the answers look like a fit, we ask for a sample. You choose what to send and how it leaves your systems. We read it for the length of the history and how much of it is real operating detail. A written offer follows within one to two weeks of the form. A sample is not a license. You can decline the offer and ask us to delete the sample.

Before anyone sees a record

Before anyone here uses a record to prepare a delivery, and before any buyer sees it, an anonymization step removes names, contact details, account numbers, and other identifying fields. Only that cleaned version moves forward.

Review, then payment

After the anonymized data is delivered, review can take up to 60 days. After approval, payment is net 30.

Where files sit

Estimate answers and files you send sit in access-controlled systems. People at Encor see a submission only while they are working on that review or that license. Submissions are not published, and they are not placed in a catalog.

Asking for deletion

You can ask us to delete a form submission or a sample. Write to [email protected]. We remove it from our systems, except where a copy must be kept to meet a legal duty or to document a license that was actually signed.

What a buyer is given

A buyer receives an anonymized dataset, limited to the records and the term in the license. It is not labeled with your company. A buyer does not receive your raw systems, your passwords, a live connection to your tools, or the contact details from this form.

What we will not license

We do not license data you hold for your own clients. We do not license regulated personal data, including protected health information and cardholder data. We do not license anything you lack the right to license.

Buyer names stay private

We do not tell you which buyer received which record, and we do not tell a buyer which company a record came from.
